How kitebooks collects, uses, protects, retains, and deletes personal and business information.

1. Who we are
kitebooks is operated by Kitenix Infotech Private Limited ("Kitenix", "we", "us", or "our"). This policy applies to the kitebooks website, GST invoicing application, and related support services.

2. Information we collect
- Account information: name, email address, phone number, password credentials, and authentication identifiers.
- Business information: legal and trade names, GSTIN, PAN, business address, bank and UPI details, invoices, customers, products, payments, and tax records entered by an account holder.
- Usage and security information: device and browser details, approximate network information, access events, audit records, error logs, and rate-limit events.
- Support information: messages, attachments, and information needed to resolve a request.
3. How we use information
We use information to provide and secure the service, create invoices and reports at the user's direction, authenticate accounts, prevent fraud and duplicate abuse, process subscriptions, send transactional communications, provide support, maintain audit trails, and comply with applicable legal obligations.
We do not sell personal information. We do not use customer invoice or tax records to train a public AI model.
4. Business data and customer responsibility
The business using kitebooks remains responsible for the accuracy and lawfulness of data it enters, for providing required notices to its employees and customers, and for deciding what information is necessary to process. kitebooks processes business data to provide the requested software service and does not replace the user's Chartered Accountant, tax adviser, or legal adviser.
5. Service providers
We may use carefully selected service providers for essential functions such as account access, communications, payments, hosting, and customer support. Each provider receives only the information reasonably needed for its service and is expected to maintain confidentiality and appropriate security safeguards.
6. Security safeguards
We use access controls, restricted staff access, secure transmission, data validation, monitoring, activity records, and safeguards designed to prevent unauthorized access or disclosure. No internet service can guarantee absolute security, so users should protect passwords, use unique credentials, and notify us promptly of suspected compromise.
7. Retention and deletion
We retain information for as long as needed to provide the service, meet accounting, tax, fraud-prevention, dispute-resolution, and legal requirements, or enforce agreements. Account holders may request access, correction, export, or deletion by contacting privacy@kitenix.com. Deletion may be subject to records that must be retained by law or to unresolved security, billing, or dispute obligations.
8. Indian privacy rights and complaints
We aim to follow applicable Indian data-protection requirements, including the Digital Personal Data Protection Act, 2023 and rules or notifications applicable to the service. Requests and complaints may be sent to our Grievance Officer at grievance@kitenix.com. We will verify the requester's identity and respond within a reasonable period required by applicable law.
9. Cookies and similar technologies
kitebooks uses essential session and security cookies needed for authentication and service operation. We may use limited analytics or diagnostics where enabled. Browser settings can block cookies, but doing so may prevent login or application functionality.
10. Changes and contact
